Declarative Software Ltd, trading as OmniPro ("we", "us", or "our"), respects your privacy and is committed to protecting the personal data of our customers, users, and the individuals represented within our recruitment database. This Privacy Policy outlines how we collect, use, and safeguard your information.
1. Information We Collect
We process two primary categories of personal data:
- Customer Data: Information you provide to us when creating an account, initiating a trial, or managing your subscription. This includes names, business email addresses, phone numbers, company details, and billing information.
- Global Talent Graph Data (Candidate Data): Our core database consists of publicly available professional profiles (e.g., job titles, employment history, education, and professional skills). We aggregate this data to provide search and sourcing capabilities to our Customers.
- Usage and Technical Data: Information automatically collected when you interact with our Service, including IP addresses, browser types, log files, and interaction metrics. We use security tools like Cloudflare Turnstile to prevent automated abuse.
2. How We Use Your Information
We use the collected information for the following purposes:
- To provision, operate, and maintain your OmniPro workspace.
- To process transactions and send related administrative communications (e.g., invoices, trial expirations).
- To provide customer support and technical assistance.
- To improve our search algorithms, matching models, and overall Service functionality.
- To ensure the security and integrity of our platform.
3. Subprocessors and Data Sharing
We do not sell Customer Data to third parties. We use trusted third-party service providers (subprocessors) to help us operate our business. Most notably:
- Salesforce.com: OmniPro is an Original Equipment Manufacturer (OEM) application built on the Salesforce platform. Your Customer Data and your proprietary CRM data are hosted securely within Salesforce’s infrastructure.
- Payment Processors: We use secure, PCI-compliant third parties to manage billing and process payments.
- Security Partners: Services like Cloudflare are utilized for spam protection and threat detection.
We may also disclose information if required by law or in response to valid requests by public authorities.
4. Data Security
Because OmniPro sits natively on the Salesforce platform, your workspace inherits enterprise-grade security measures. This includes encryption at rest and in transit, role-based access controls, and regular independent security audits (such as SOC2 Type II and ISO 27001 compliance). However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
5. Data Retention
We retain Customer Data for as long as your account is active or as needed to provide you with the Service. Upon termination of your contract, you will have a 30-day window to export your proprietary CRM data, after which it will be permanently deleted from our active systems, in accordance with our retention policies.
6. Your Data Protection Rights
Depending on your location (e.g., under the UK/EU GDPR or CCPA), you may have the following rights regarding your personal data:
- Access: The right to request copies of your personal data.
- Rectification: The right to request that we correct any information you believe is inaccurate.
- Erasure (Right to be Forgotten): The right to request that we erase your personal data, under certain conditions.
- Opt-Out: If you are a candidate whose public professional data is indexed in our Global Talent Graph, you have the right to claim your profile or request its removal from our search results.
